This Privacy Policy explains how we collect, use, and share personal information through equiptogether.org and our associated online learning school (the “School”).

2 Information we collect

Depending on how you use the School, we may collect:

·         Account information: Your name, email address, login credentials, and information you choose to include in your profile.

·         Enrollment and learning information: Courses you enroll in, learning activity, progress, assessment responses, scores, assignments, and certificates.

·         Transaction information: Purchases, billing details, payment status, and subscription information. Payment card details are handled by our payment providers; do not send card details to us by email.

·         Communications and contributions: Messages, support requests, survey responses, and content you submit to discussions or community features.

·         Technical information: IP address, browser and device information, access times, and information collected through cookies or similar technologies.

·         Organization information: Your church, ministry, or sponsoring organization, where provided by you or an organization arranging your enrollment.

We receive information directly from you, automatically through your use of the School, and from organizations or service providers involved in your enrollment or payment.

3 How we use information

We use personal information to:

·         Create and manage accounts and enrollments.

·         Deliver courses, assessments, certificates, and learner support.

·         Process payments and administer subscriptions.

·         Communicate about purchases, account activity, and course updates.

·         Send newsletters and promotional communications where permitted.

·         Understand how the School is used and improve its content and functionality.

·         Protect accounts, prevent misuse, resolve disputes, and meet legal obligations.

Where applicable law requires a legal basis, we rely on performing our agreement with you, complying with legal obligations, your consent, or legitimate interests such as maintaining a secure and effective School. Where we rely on legitimate interests, we consider your rights and reasonable expectations.

4 Ministry related and sensitive information

Because the School offers Christian ministry education, your enrollments or contributions may reveal religious beliefs or affiliations.

Please avoid submitting confidential pastoral counseling information, prayer requests identifying another person, medical information, or other sensitive personal information unless specifically requested through an appropriate process. Use fictional or anonymized examples in assignments and discussions. Where applicable law requires additional permission to process sensitive information, we will obtain that permission or establish another permitted basis before processing it.

5 How we share information

We may share information with:

·         Service providers: LearnWorlds and providers supporting hosting, payments, email delivery, customer support, and other School operations.

·         Instructors and authorized personnel: People who need information to deliver instruction, administer the School, or provide support.

·         Sponsoring organizations: If a church, employer, or ministry arranges your enrollment, we may share enrollment, progress, completion, and assessment information as described when your enrollment is arranged. This does not automatically give the sponsor access to private support communications.

·         Other learners: Your display name, profile information, and contributions may be visible through community features you use.

·         Legal or organizational recipients: Where reasonably necessary to comply with law, protect rights or safety, or complete an organizational restructuring or transfer, subject to applicable privacy protections.

6 Platform and third party services

Our School uses LearnWorlds to support course delivery and account administration. Other services may be used for payments, communications, or embedded content. When you interact directly with a third-party service or follow an external link, that provider’s privacy practices may also apply. Contact us about privacy requests concerning your Equip Together learner account.

7 Cookies and communications

Our Cookie Policy explains our use of cookies and similar technologies. You can unsubscribe from promotional emails through the unsubscribe link or by contacting us. We may still send necessary messages about your account, purchases, security, or services you requested.

8 Retention and security

We retain personal information for as long as reasonably necessary for the purposes described in this policy, including maintaining learning records, meeting financial and legal requirements, and resolving disputes. Retention depends on the type of information, account activity, applicable requirements, and legitimate operational needs. Information no longer needed is deleted or anonymized, subject to backup cycles and lawful retention requirements. We use reasonable administrative, technical, and organizational safeguards. No internet service or storage system can guarantee complete security.

9 International processing

Our service providers may process information in countries other than where you live. Where applicable law requires safeguards for international transfers, we use appropriate contractual or other recognized safeguards.

10 Your choices and rights

Depending on your location and applicable law, you may have rights to access, correct, delete, or obtain a copy of your information; restrict or object to certain processing; withdraw consent; or appeal a decision about a privacy request. Contact matthew@equiptogether.org to make a request. We may need to verify your identity. Some information may need to be retained for legal or other permitted reasons. Withdrawing consent does not affect processing that occurred lawfully before withdrawal. You may also have the right to complain to your local privacy regulator. We will not unlawfully discriminate against you for exercising your privacy rights.

11 Children

The School is intended for adults aged 18 and older. We do not knowingly collect personal information from children under 13. If you believe a child has provided information to us, contact us so we can investigate and take appropriate action.

12 Changes to this policy

We may update this policy as our services or practices change. We will post the revised policy and effective date and provide additional notice or obtain consent when required by law.
